Airtable actually gives you direct control over your data and a flexible, user-friendly database that can replace tools like Google Sheets and various form apps for almost any business use. You get reliable access and ownership, plus the ability to automate and structure things as you need.

GoHighLevel, on the other hand, forces you into a mess where you're buying a sub license from someone else, so you're always dependent on another person's account. If they stop paying, you lose access. You also don't own your data, and the whole setup is built around reselling, not around giving you solid software.

If you want software you can trust for your business data, Airtable is the only real option, although we wouldn't recommend using it as your CRM (check out the best CRM list). GoHighLevel's structure just puts your data and access at risk. There's no good reason to pick GoHighLevel when Airtable exists.

What is Airtable?

Airtable is an incredibly flexible tool that can be used from something as simple as a Google Sheets replacement, all the way up to a no-code builder.

At a core, it's really just a user-friendly database, similar to that of Coda and even Notion (although those 2 apps both started as more of knowledge base tools first, whereas Airtable has always been first-and-foremost a user-friendly database).

If your team is still using Google Sheets (for things outside of company finance reporting like balance sheets, etc.), then we fully encourage you to check out Airtable and to give it a try. In most cases, it will completely replace the need for Google Sheets, Google Forms, Typeform, Jotform, and other Form software.

Believe it or not, over the past 8+ years, we've actually entirely replaced every single internal Google Sheet with Airtable alternative. Sometimes the structure needs to change slightly, but doing so unlocks so much additional functionality.

We love working with the Airtable API. It just does most everything you could want it to do, and it incredibly flexible and easy to work with.

You can simply create a new view within an Airtable Base, add filtered logic to it, and set it up so when a new record enters that view, an automation can be triggered. This allows it to be incredibly flexible.

Ease of Learning

Getting started with GoHighLevel is a headache. You're not getting an out-of-the-box setup, so you have to spend dozens of hours configuring it before your team can use it at all.

Even after that, you're stuck with a big learning curve, and if you aren't technical, you're going to struggle. Your team will keep running into issues and will need constant help just to keep things working. You still have to handle setup and ongoing support manually. This does not support getting teams up and running in less than a day.

Team Adoption

Your team is going to hate using GoHighLevel. The interface is clunky and slow, and the features are stitched together in a way that feels unfinished. There's a steep learning curve, so you'll spend dozens of hours just getting it running. Once you do, your team will still be constantly coming to you with problems, features breaking, messages not sending, calendars not loading. If you have more than a handful of people, you end up being a full-time tech support rep just to keep things limping along.

You still have to manage constant frustrations and put out fires just to keep your team using it at all. This does not support smooth or reliable team adoption.

Workflow Presence

GoHighLevel does not support showing up where your team already works. You still have to manage everything inside its own bloated and laggy interface, and your team will constantly run into friction just trying to use the basic features.

Expect to babysit the system, field constant questions, and spend a lot of time configuring and troubleshooting instead of actually working in your normal tools. This adds more context switching and admin, not less.

AI Assistance

GoHighLevel pushes AI features that claim to "do everything," but in reality, they are half-baked and clearly there to check a marketing box. You are not getting a truly AI CRM that meaningfully improves your workflow.

This is not an AI-first CRM. The AI feels bolted on, not core to the product, and it will not replace real tools or operators. Do not fall for the idea that it can run your business for you. It cannot.

Integrations

GoHighLevel tries to bundle a lot of features together, but any integrations with third-party tools are surface-level and clunky. You get a bloated platform with mediocre connections between tools, not seamless workflows. The experience is messy and unreliable, with missing features and constant frustration when things stop working or don't connect as expected.
