Attio gives you full control to build your CRM from the ground up, but that flexibility comes at the cost of simplicity. If you or your team are technical and enjoy setting up systems, you'll be able to unlock what it offers, but anyone without that background is going to hit a wall fast.

Personally, we evaluated Attio 3 times over the past several years and felt overwhelmed with the setup once inside the CRM. It just didn't feel like the modern AI-first CRM we were looking for, so we didn't end up switching to it.

With that, if you're a non-technical teams, expect to get overwhelmed. You can't just jump in and have a working CRM in a few hours. You still have to figure out structure, build automations, and learn a workflow builder that isn't beginner-friendly. For teams that just want to track leads and deals without a setup project, you'll spend way too long just figuring out where to start.

You get a lot of flexibility with Attio, but that flexibility comes at a cost when it comes to showing up where your team already works. If your team is technical and loves building workflows, has experience with tools like Zapier, you can create advanced automations.

Our friends who are more technical tend to like using Attio, but less technical users will feel out of their depth right away.

Attio does blend in to-dos and has some email integration, so you can manage some work inside the app without bouncing around. But the email integration is limited: it only covers sales pipeline conversations, so you still have to use your main inbox for most communication.

If you want a CRM that just fits into your day without much setup or lets everyone on the team jump in immediately, this isn't it.

Attio gives you a ton of flexibility, but that comes with a tradeoff for team adoption. If your team is full of technical founders or operators who like building systems and automations, they'll probably be happy to dive in and customize everything. But for the rest of your team, especially anyone who isn't comfortable with technical tools, the learning curve quickly feels overwhelming.

You still have to invest a ton of time and technical effort to set things up, and if no one on your team enjoys building workflows, adoption falls apart fast.

You can get everyone using it if you have the right team, but most teams will hit friction and need to push people to keep using it.

Attio gives you AI features like auto-filling fields and surfacing which contacts need attention based on real engagement signals. The relationship scoring is useful for keeping track of which leads are slipping.

That said, Attio is not an AI-first CRM (it was built 3 full years before ChatGPT launched). An AI-first CRM will allow you to simply add your data via a CSV and help consult on how to set up the CRM, and then actually go set itself up. That's the era we're in now, and Attio is not that.

You get a flexible automation system that lets you connect actions across the CRM and build advanced workflows, but you need to be comfortable with automation tools to really take advantage of it. If you've used Zapier or Airtable before, you'll feel right at home, but less technical users will find the setup intimidating and heavy.

Getting started with monday.com is a struggle for most teams. The platform is highly customizable, but that flexibility means you're dumped into a sea of options, decisions, and setup work. You're responsible for building out the system yourself, and unless you have someone dedicated to managing it or can afford a consultant, onboarding drags on and gets messy.

For large organizations with complex, structured workflows and the resources to bring in outside help, you might be able to get up and running, but even then it's a heavy lift. Smaller teams or anyone without a project manager will find the learning curve steep and the setup overwhelming. You still have to spend significant time configuring the system before you can actually use it as a CRM. This does not support true "up and running in less than a day" onboarding.

Monday.com tries to be the system where your team works, offering tons of customization and integrations, but in reality, you still have to spend a lot of time inside the tool itself just managing and updating it. Instead of blending into your team's existing workflows, it demands ongoing attention and constant manual updates, making you feel like you're working for the tool rather than the other way around.

The setup is overwhelming unless you have a dedicated owner or consultant, and most teams end up building and maintaining the system themselves. This leads to more context switching and admin, not less. Even with integrations to 200+ apps, you still have to manage the connections, and most are basic rather than deeply embedded into your team's daily flow.

Unless you're a large organization with the resources to build and enforce the system, Monday.com ends up being another tool you have to babysit. You can get by, but it never really disappears into the background or shows up where your team naturally works.

You can get your team to use Monday at first, but keeping them engaged is a real struggle. The initial setup feels exciting because the interface looks clean and customizable, but that flexibility quickly turns into a problem. You end up spending more time building and maintaining the system than actually getting work done, and unless you have a dedicated project manager or even a consultant, most teams either get confused or overwhelmed.

For most teams, adoption drops off after the novelty wears thin. People stop updating tasks, notifications become noise, and it often takes someone chasing the team individually just to keep things up to date. Even larger teams with more resources run into friction, needing outside help to build systems that still might not fit how they really work. The tool's endless customization options let everyone try to mold it to their preferences, but this just adds to the chaos rather than solving it.

If you're not a large organization with complex workflows and someone dedicated to running Monday full-time, you'll likely see your team abandon it within months. You still have to babysit the tool to keep it working, and that kills long-term adoption for most teams.

AI features in Monday come across as overwhelming and not genuinely useful in daily CRM workflows. You get a huge catalog of AI options like Magic, Vibe, and Sidekick, but there's no real guidance on what's actually helpful, so you end up staring at dozens of tools without knowing where to start or which ones will actually save you time.

Most of what the AI does is just surface-level, summarizing updates, extracting fields, or generating basic suggestions, which feels like AI layered on top instead of something that actually takes work off your plate. You still have to figure out which features might actually help, set them up yourself, and keep track of usage credits, which adds cost and more decisions without a clear payoff.

If you're hoping for AI that just works and makes CRM management easier, you're still left doing most of the work manually.

You get access to over 200 app connections, and integrations are built into the paid plans, so you're not blocked from connecting Monday to the rest of your stack. But don't expect anything more than surface-level connections in most cases. A lot of the time, "integration" just means you can check a box on a landing page, not that you're getting deep two-way syncing or real automation that actually saves you work.

You can definitely connect Monday to plenty of tools, but you'll still have to double-check if those integrations do more than just push basic data around. If you're hoping these integrations will actually replace manual work or automate real CRM processes, you'll probably find they only go partway. The connections are there, but the real value depends on what you're integrating and how much extra management you're willing to do.
