If you just want a fast, beautiful calendar that's way nicer to use than Google Calendar, Notion Calendar easily takes it. Its design feels polished, navigation is instant, and keyboard shortcuts make scheduling lightning quick. It's perfect if all you need is a calendar that looks and feels great, without any fuss or overload.

Akiflow is for people who are drowning in tasks from a million apps and desperately need one place to see everything. It excels at pulling in tasks from tools like Slack, Asana, and email, so if your chaos comes from scattered todos and you want to drag them onto your calendar, Akiflow is built for that. But be warned: dump everything in, and you'll quickly feel overwhelmed since it won't help you prioritize or automatically clean things up. It's manual, and falling behind gets messy fast.

So if you want a calendar that just works and never gets in your way, go with Notion Calendar. If your main problem is wrangling tasks from all over the place and you're willing to put in the work to triage them yourself, Akiflow is the tool for that, but only if you keep things focused. For pure calendar use, Notion Calendar is the clear pick. For centralized task management (with the risk of overload), Akiflow stands out.

What is Notion Calendar?

Notion Calendar is part of the greater Notion ecosystem, but we want to be clear: while we highly recommend Notion Calendar as an actual calendar app, we don't recommend it as a daily planner.

Since it integrates into Notion databases, you might be tempted to think, "Hey, I can drag database items (like tasks) onto my calendar to plan my day," but that idea is only good in theory, not in reality.

If you're a deep Notion power user who already manages your life inside databases, this might feel convenient. Everything lives in one ecosystem. You build tasks in Notion, then place them on your calendar. And for you, sure, that can work.

But if you're reading this and you're not using Notion for tasks, don't start (see our Notion review as to why). And certainly do not sign up for Notion Calendar thinking it can be a good daily planner when integrated with Notion just cause it's free. I promise you, this is the path of perceived productivity rather than something actually useful that will move your business forward.

This is one of those tools that feels productive on the surface, but in reality, slows you down. It looks clean, it feels flexible, but you're doing all the work manually. You're not actually getting help planning your day, you're just spending hours organizing it.

Compared to tools like Sunsama or Akiflow, Notion Calendar lacks structured daily planning rituals. It's the complete opposite of Motion; there’s no AI scheduling or workload management. Instead, it's all on you to manage. Bottom line, it's a good calendar, but it's not a daily planning solution.

Notion Calendar, originally Cron, was and is an insanely well-designed calendar. But since Notion acquired it, they updated it to include other Notion products (e.g. connecting Notion databases like tasks, projects, and more, directly into your calendar). You can drag Notion pages onto specific time slots on your calendar.

Drag-and-Drop Scheduling

Notion did make it fairly simple and straightforward to use. Whatever tasks you do create can be put into time blocks on your calendar.

The problem with that is it's fully manual. There's no AI rescheduling coming to save the day or an adaptive reschedule to dig you out of your missed workload. There are far better tools that can help you reprioritize your tasks.

Unified Calendar View

Now this is the one redeeming feature. Notion Calendar itself is genuinely good replacement for Google Calendar or Outlook. You can manage all of your calendars, get a good view of your availability, and handle your meetings.

Akiflow does not support AI auto-scheduling. You still have to manually plan your day and time block tasks yourself, which means dragging each task onto your calendar and reviewing them daily. If you want your day to be automatically built with time blocks for tasks based on priority and availability, this just isn’t possible here. You have to do all the scheduling work manually, and if you fall behind, your whole workflow gets messy fast.

Adaptive Rescheduling

Akiflow does not support automatic or real-time adaptive rescheduling. If your plans change, you still have to manually drag and re-plan your tasks on the calendar. The whole process depends on you reviewing and adjusting your schedule daily, with no automation to shift tasks for you.

You end up spending extra time managing your calendar, and if you fall behind on manual planning, your schedule gets cluttered fast. This breaks down especially when your day doesn’t go as planned and you need your tool to adjust for you.

Cognitive Clarity

Akiflow clears up a lot of mental clutter if your main problem is having tasks scattered across different apps. You get everything in one inbox, so you always know what needs attention and don’t have to hunt through email, Slack, and project management tools. The command bar and keyboard shortcuts make it easy to triage and time block your day, so you can quickly sort and act on what matters.

But once your tasks are consolidated, you still have to manually plan and organize them every day. If you let things pile up or add too many low-priority tasks, your inbox can get overwhelming fast, and you lose the clarity you started with. There’s no automation to help you reschedule or surface priorities when things get messy, so you need to keep up with daily reviews or you’ll fall behind.

If you’re selective about what you add and stick to daily planning, Akiflow keeps your priorities clear and your next actions obvious. If you don’t, clutter and manual overhead creep right back in. This is strong if you want control, but it stops short of truly simplifying your mental workload when life gets chaotic.

Planning Methodology

Akiflow gives you a central inbox for all your tasks from different apps and lets you time block by dragging tasks onto your calendar, but the planning process is manual and can quickly get overwhelming. The UI is basic and a bit clunky, especially when your task list fills up from all the integrations, and you have to be disciplined to avoid clutter.

You still need to spend 10-20 minutes each day manually triaging and scheduling your tasks, and if you fall behind, the whole system starts to break down. There’s no automation to help you reschedule or clear out completed tasks, and you even have to check off tasks twice if you want things synced across apps.

If you like hands-on, manual planning and are careful about what you add, it’s workable. But for most people, the workflow gets messy fast, and it’s not quick or effortless to pick up and keep using.

Integrations

Akiflow nails integrations for daily planning. You can pull in tasks from a wide range of apps like Trello, Slack, Notion, Todoist, Google Calendar, Asana, ClickUp, Gmail, and Outlook, so everything lands in one central inbox without you needing to jump between tabs. Even if your tools aren’t natively supported, Akiflow’s Zapier connector lets you set up simple custom workflows with any app that works with Zapier, so you’re not stuck waiting for official integrations.

You don’t have to babysit the process, tasks from all connected tools show up in Akiflow automatically, and you can manage them right from the app. This is especially strong if you’re juggling a mess of different platforms and just want everything in one place. The only real gap is that the Zapier integration is basic (create-task only), and completed tasks in Akiflow don’t sync back to the original app, so you might have to check things off twice. But for getting your tasks, calendars, and communication streams centralized fast and reliably, nothing else in this category handles integrations better.
